Winter Break and Spring Early Arrival Housing Options

The message below was recently sent to your student regarding Winter Break and Spring Early Arrival housing options. Please note that undergraduate residence halls will be closed from Friday, December 23, 2016 at noon through Saturday, January 14, 2017 at 8:30am. If students have a need for housing during this time, they must apply during the posted dates.

Winter Break & Spring Early Arrival Housing Information

Dear Students,

We hope that you had a relaxing Fall Break! As you begin to look ahead and make plans for Winter Break, we wanted to remind you about the following important information:

  • Residence halls will close on Friday, December 23rd at noon EST for the Fall semester
  • All undergraduate students must vacate their housing assignments 24 hours after their last final exam, or by December 23, 2016 at noonwhichever comes first. 
  • Students who do not vacate the residence halls by December 23rd at noon and need their GWorld access turned back on will incur a $250 improper check out fee.
  • Residence Halls re-open for the 2017 Spring semester on Saturday, January 14, 2017 at 8:30 am
  • Students who are returning for the Spring semester do not need to remove all of their items from their room during winter break but students will not have access to their residence hall room over the winter break period. Please make sure to take everything you need with you when you leave for the break.
  • Only approved students will be permitted to remain on campus during the break period or return to campus early.
  • GWorld card access will be turned off on December 23rd at noon for all students who are not approved for Winter Break housing.
  • If you are affiliated with a Greek chapter, all non-resident access will be turned off to Greek housing during the break period.

Winter Break Housing and Spring Early Arrival Policies

Winter Break Housing (December 23, 2016–January 14, 2017) & Spring Early Arrival Housing (January 9-14, 2017) is granted in the following instances:

  • Students who have job obligations either on or off campus 
  • Students who are participating in a university sponsored event or program (Alternative Breaks, Colonial Inauguration, etc.)
  • Student athletes with obligations during break
  • International or Exchange students
  • Students who are granted approval from GW Housing to stay in their residence hall over the break period due to individual circumstances

Students who request Winter Break Housing must have both a Fall and Spring housing assignment. Winter Break Housing is not available to Fall Only or Spring Only residents.

How to Request Winter Break or Spring Early Arrival Housing

  • All students who need housing during the break must request either Winter Break Housing or Spring Early Arrival Housing through GW Housing e-Services. Our office will not be collecting lists from departments.
  • The Winter Break Housing form will be available from Thursday, October 27th at 10am through Friday, December 9th at noon EST.  
  • The Spring Early Arrival Housing request form will be available from Thursday, October 27th  at 10am through Friday, December 16th at noon EST..
  • Notifications will be made on a rolling basis
  • If your request is approved, you will need to complete the Winter Break Check-In form online in order to have access to your residence hall during the break period.

Failure to plan accordingly for published winter break periods, including but not limited to flight plans or weather conditions, does not constitute sufficient grounds for Winter Break or Spring Early Arrival Housing. 

Students are not able to extend their housing beyond December 23rd at noon unless they have been approved for Winter Break Housing.

If you are not planning to return to GW for the 2016 Spring semester, please complete the Request to Cancel the Housing License Agreement form via GW Housing e-Services as soon as possible.  Students who are not returning to GW for the Spring semester must vacate their residence hall by noon on December 23, 2016.
